1. Data controller
Udruženje voćara i povrtlara Istočne Hercegovine, Hrvatskih branitelja, Stolac 88360, Bosnia & Herzegovina. Tax ID OT: 0950FI07000005. Enquiries about personal data may be sent to info@herzegovinafruitgrowers.info or by telephone to +387 36 858 303.
2. What data we collect
Membership and programme records: full name, municipality, farm or holding details, crop types and approximate area, contact e-mail and telephone number, and the programmes a member participates in.
Correspondence: the content of messages sent through the contact form, together with the name, e-mail, telephone number, subject, and inquiry type you provide.
Event participation: attendance lists for workshops, field days, and harvest festivals, and photographs taken at public events where notice has been given on site.
Website analytics: aggregated, non-identifying information about page visits used only to understand which resources growers use most.
3. Why we process data
To administer membership, organise workshops and field trials, distribute technical guidance, coordinate shared equipment, and report programme results to donors and public institutions in aggregate form.
To meet statutory record-keeping, accounting, and reporting obligations under the laws of Bosnia & Herzegovina.
We do not sell, rent, or trade personal data, and we do not use member data for commercial advertising.
4. Legal basis and consent
Membership data is processed on the basis of the membership relationship and the association's statute. Newsletter and photography use rely on consent, which may be withdrawn at any time without any effect on access to our programmes.
5. Sharing with third parties
Personal data is shared only where necessary: with agricultural advisory or certification bodies when a member requests support, with auditors and supervisory authorities, and with service providers who host our website and e-mail under confidentiality obligations. Donor reporting uses aggregated figures, not identifiable member records.
6. Retention
Membership records are retained for the duration of membership and for five years afterwards for accounting and audit purposes. Contact-form correspondence is retained for two years. Anonymous analytics are retained for a maximum of fourteen months.
7. Your rights
You may request access to your data, correction of inaccurate details, deletion where retention is no longer required, restriction of processing, and a copy of your records in a readable format. Requests are answered within thirty days by the Secretary General.
8. Security
Member registries are kept in access-controlled digital systems and locked physical storage at the registered office. Only the Secretariat, the Treasurer, and authorised programme coordinators have access, each limited to what their role requires.
9. Children
Youth mentorship participants under the age of eighteen are enrolled only with the written consent of a parent or guardian, and their data is limited to what is needed for supervision and safety.
10. Changes to this policy
Material changes are announced on this page and reported at the next General Assembly. The date of the most recent revision is shown above.
